Select the Sales Officer and Dealer from the list, or choose “+ Add new…” to enter one that isn't there yet. Product accepts free text. Quantity is optional but needed for the quantity projection on the Officer Performance tab.
Upload a CSV or Excel (.xlsx/.xls) file exported from Excel, myBillBook or Tally to add many rows at once — or a ZIP bundling several such files together (e.g. a folder of daily exports), and every spreadsheet inside is imported at once. myBillBook Group Summary (party ledger) and Tally Sales Register (voucher day-book) exports are both recognised automatically, across every sheet in the workbook — a Tally Sales Register import fills in Company, Invoice No., Product, Quantity and Value per invoice. For a plain flat file, the first sheet is used, and column headers can be in any order/case — recognised names: Date, Officer, Dealer, Company, Area, Product, Quantity, Unit, Invoice No, Value, Collected, Notes. Only Date, Dealer and Value are required; everything else is optional and left blank if missing.
Print opens your computer’s printer dialog directly for whatever is currently filtered above — if it doesn’t respond, open this page’s own link in a full browser tab (rather than viewing it inside the chat) and try Print there. Save as PDF always works — it downloads a PDF file you can open and print from any device. Make PDF & Send to WhatsApp builds that same PDF and shares it straight through your device’s share sheet when it supports it (pick WhatsApp there) — that only works on devices where the browser supports sharing a file this way (most phones; not most desktop browsers). Where it isn’t supported, WhatsApp opens with a text summary as before and the PDF is downloaded alongside it, so attach that downloaded file in WhatsApp yourself. All three follow the Period / Officer / Product / search filters above. Period “as Financial year bar” uses the year chosen at the top of the page; pick Financial year, Month, Particular date or Date range to see just that period here.
Log a collection against a dealer's outstanding balance directly if you don't have a fresh Tally export to hand.
Upload a CSV or Excel (.xlsx/.xls) export from Tally (a Receipt Register / Day Book filtered to Receipt vouchers) to add many rows at once — or a ZIP bundling several such exports together, and every spreadsheet inside is imported at once. A Tally Receipt Register is recognised automatically, the same way the Sales tab recognises a Sales Register — each voucher becomes one receipt row with dealer, reference and amount filled in. The Sales Officer isn't reliably present in a Tally receipt voucher, so it's filled in automatically from that dealer's most common officer in the Sales log where one can be found — double-check it after importing and correct any row where it guessed wrong. For a plain flat file, the first sheet is used, and column headers can be in any order/case — recognised names: Date, Officer, Dealer, Company, Amount, Reference, Notes. Only Date, Dealer and Amount are required.
Total receipts logged per Sales Officer — this is what now feeds the collection-ratio figures on the Dashboard and Officer Performance tab (rather than each Sales entry's own Collected field).
Total value purchased per supplier for the financial year selected above — the same chart shown on the Dashboard, in full here.
Raw material / stock purchases from suppliers.
Upload a CSV or Excel (.xlsx/.xls) file of purchase records to add many rows at once — or a ZIP bundling several such files together, and every spreadsheet inside is imported at once. For a workbook with multiple sheets, the first sheet is used. Recognised column names (any order/case): Date, Supplier, Product, Quantity, Unit, Value, Notes. Only Date, Supplier and Value are required.
Log a payment made to a purchase vendor / supplier against their outstanding balance.
Upload a CSV or Excel (.xlsx/.xls) file of vendor payment records to add many rows at once — or a ZIP bundling several such files together, and every spreadsheet inside is imported at once. A Tally Payment Register export is recognised automatically, the same way the Purchases tab recognises a Purchase Register — each voucher becomes one payment row with supplier, reference and amount filled in. For a plain flat file, the first sheet is used, and column headers can be in any order/case — recognised names: Date, Supplier, Amount, Mode, Reference, Notes. Only Date, Supplier and Amount are required.
Opening balance is what was owed to a vendor before this app started tracking purchases & payments — click into the field (in the All time view) to set or edit it, it saves automatically. Closing balance = Opening balance + Purchased − Paid, and shows what's currently owed. Switch the financial year above to review a single year: Purchased/Paid then cover just that year, and "Balance b/f" rolls in every earlier year automatically so Closing balance still shows the true running balance at the end of that year.
Month by month for the financial year selected above. Gross margin = Sales − Credit notes − Purchases. Net profit = Gross margin − Officer pay (salary & incentive from the Officer Performance tab) − every expense logged on this tab, for both branches (Vikravandi + Orathur) together. Values are taken as recorded — Tally invoice totals include GST. The cash columns show money actually received from dealers and paid to suppliers, leaving out set-off adjustments.
Salaries (staff, labour, drivers), maintenance & repairs, EB bills, fuel, rent, office and any other running cost, for the Vikravandi or Orathur branch. Sales-officer salary & incentive is still entered on the Officer Performance tab — don't enter it here as well, or it will be counted twice.
Upload a CSV or Excel (.xlsx/.xls) file of expenses to add many rows at once. The first sheet is used, and column headers can be in any order/case — recognised names: Date, Branch, Category, Company, Paid To, Amount, Units, Mode, Reference, Notes. Only Date and Amount are required; rows with no Category are filed under Miscellaneous, and Branch must be Vikravandi or Orathur (left blank otherwise).
Each category's total for every month of the year selected above — both branches together, or pick one branch.
TNPDCL connections for each branch, with this year's billed amount and units from the EB bills logged above.
Vikravandi and Orathur side by side for each category, with the combined total.
Every line written in the book for this day. Only lines marked Expense are costs — salary payments, advances, supplier payments, transfers and bank withdrawals are money moving, not new expenses.
An Expense line is also added to the Expenses tab automatically (same date, factory and amount), so you only enter it once.
Type the balance written in the book. The difference shows straight away.
Salary due comes from the salary sheets in the Expenses tab. Cash paid and advances come from both cash books. Balance is what is still payable; a minus means more was paid or advanced than the sheet entered so far.
Cash collected from dealers and handed in to the cash books by each officer, against the dealer-wise receipts entered for that officer. Not yet credited means the money is in the cash book but those dealers’ outstanding hasn’t been reduced yet — send the dealer-wise split and it gets entered in Receipts.
Tap P present, ½ half day, A absent. Saves straight away.
Operators and loadmen present each day, entered by the supervisors in Batch Book’s Attendance tab.
Days present, loss of pay at basic ÷ 31 per day, and the check against the salary sheet entered in Expenses.
Started from the Sep’26 salary sheet. Add new staff here or mark someone as left.
Upload a CSV or Excel (.xlsx/.xls) export from Batch Book's Reports or Job Work tab to bring in production output and job-work revenue — or a ZIP bundling several such exports together, and every spreadsheet inside is imported at once. For a workbook with multiple sheets, the first sheet is used. Recognised column names (any order/case): Date, Product, Company, Output MT, Rate per MT, Revenue, Cost, Profit. Only Date and Product are required — leave Company blank for regular (non job-work) production.
Add or correct one entry directly if you don't have a fresh CSV to hand.
Total Metric Tonnes produced per product, from records logged here.
Contract-manufacturing revenue and profit by company (SFL, Rajshree Bio Solutions, SKY WIN, etc.).
Compares what Batch Book's Stock ledger shows as dispatched each day against what's logged as sold in the Sales log that same day (matched on date, and on company when Batch Book has one set). Read-only — Claude keeps this synced from Batch Book automatically once a day; ask Claude to sync sooner if you need the very latest numbers.
Batch Book and the Sales log sometimes name the same product differently (for example Batch Book's “No.18” may be the Sales log's “STD Mix : 18”). Map any Batch Book product that doesn't already match a Sales log product name so the reconciliation above can pair them up correctly.
Live from Batch Book — every batch logged there shows up here automatically. Costs are Batch Book's own costing: raw material at Settings rates, processing (EB, fuel, maintenance share) and labour. Follows the financial-year selector at the top.
Checks Batch Book's standard costing against what was actually booked in this tracker for the same month: raw material vs Purchases, processing vs EB / maintenance / fuel expenses, labour vs Salaries & Wages. A big gap means either the Batch Book rates need updating or a bill hasn't been entered yet.
Revenue at the agreed ₹/MT rate against Batch Book's cost for those batches.
Quantities from the batch log, valued at Batch Book's current material rates.
The full Batch Book app, so batches, stock and settings can be entered without leaving the tracker. Anything saved here appears in the reports above within a second or two.
The sales officer roster and their Area/Territory assignment now live in Settings — add or edit officers there and they'll appear in every report below automatically.
Projected next month = a straight-line trend fit through each officer's monthly totals so far (at least 2 months of data). Quantity projection only appears once quantity has actually been logged for that officer — most historical rows below don't have it yet. Use the dropdown to jump straight to one officer's report.
Record what each Sales Officer draws in salary and incentive for a given month. This feeds the performance & revenue report below, which weighs what an officer earns against the revenue and collections they bring in.
Each officer's sales revenue and collections (from the Receipts tab) weighed against what they drew in salary and incentive — net contribution is revenue minus total pay. Officers are tiered so it's easy to see who to recognise and who needs attention.
Record the balance each department holds for a creditor or debtor, and attach their supporting statement (PDF, image, or CSV attach directly; Excel workbooks are not supported for direct attachment — if the upload fails, export that sheet as PDF or CSV instead and the balance is still saved). Tag a Sales Officer so a confirmation statement can be generated for them below. Any discrepancy is flagged automatically and sorted to the top — high priority.
Discrepancies are sorted to the top and highlighted — these require priority follow-up between the Accounts and Verification departments.
Pick a sales officer to see their complete ledger — every sale they made (debit) and every receipt they collected (credit) in date order with a running outstanding total — plus every dealer that officer alone has sold to, for marketing aids and a report of their area. Only this officer's own dealers show here, even if another officer shares the same Area/Territory. Area comes from the officer's Settings assignment; add or edit it there if it's missing.
Only dealers this specific officer has sold to — not other officers sharing the same Area/Territory.
Generate a ready-to-send reconciliation statement for a sales officer, listing their tagged parties' Accounts vs Verification balances with any discrepancy flagged. Copy it and send via WhatsApp, email or SMS — this page does not send messages itself.
Every dealer’s running account in one place — opening balance, total sales, total received, and the closing balance currently outstanding — sorted highest first. Opening balance is editable here too (All time view) and is shared with the full statement below. Switch the financial year above to review a single year.
Pick a dealer to see their complete ledger — every sale (debit) and receipt (credit) in date order with a running balance — and generate a ready-to-send statement for follow-up or marketing outreach. Opening balance is what the dealer owed before this app started tracking sales & receipts; the field is editable in the All time view and saves automatically. Switch the financial year above to review a single year — Sales/Received then cover just that year, and "Balance b/f" rolls in every earlier year automatically. Or set an exact From/To date below for any custom period — it overrides the financial year above for this statement only.
Every supplier’s running account in one place — opening balance, total purchased, total paid, and the closing balance currently payable — sorted highest first. Opening balance is editable here too (All time view) and is shared with the Payments tab and the full statement below. Switch the financial year above to review a single year.
Pick a supplier to see their complete ledger — every purchase (debit) and payment (credit) in date order with a running balance — and generate a ready-to-send statement. Opening balance is what was owed to this supplier before this app started tracking purchases & payments; editable in the All time view, and saves automatically (shared with the Payments tab). Switch the financial year above to review a single year. Or set an exact From/To date below for any custom period — it overrides the financial year above for this statement only.
Configuration shared across the whole tracker — set it up once here and every tab, form and report stays consistent.
Assign each Sales Officer their Area/Territory once here to keep spelling consistent everywhere. The moment you pick a registered officer on the Sales form, their Area fills in automatically — no need to retype it per invoice. Officers already appearing in logged sales still show performance on the Officer Performance tab even if not added here.
